How to Make a Booking:
- Click on you preferred date.
- Register your details or log in if you are an existing user.
- Complete the booking details and choose any additional requirements beyond the Main Hall and Toilets.
Important Notes:
- A deposit may be required when booking the hall to cover potential damages. This deposit will be fully refunded after the event, provided the hall is vacated without any damage or need for additional cleaning.
- The booking will appear as Private on the public booking calendar unless you untick the Private box.
- During the heating season, the hall’s heating will be activated for your booking unless you untick the heating box to indicate it is not required.
Once your request is submitted, a member of our Bookings Team will review it and confirm your reservation. An invoice will then be sent to the email address linked to your login. Payment is then required within 7 days of booking including the deposit charges if applied – upon receipt of the funds access codes to the hall will be provided.
Note: The booking agreement is made between The West Hendred & Ginge Village Hall and the Hirer to permit the Hirer to use the premises under the Terms and Conditions set by the Trustees. These Terms and Conditions are outlined within he HeatSave booking system and set out below.
The Hall is in a Noise Sensitive area. The Terms and Conditions reflect the noise sensitivity of its location. The Hirer must respect the rights and needs of local residents by ensuring the Hirer and guests leave the Hall are area quietly. The Hirer must not play music with Hall windows or doors open.
The Hall is not licensed for the sale of alcohol, live performances or the playing of copyrighted music. Separate licenses must be obtained from the Vale of White Horse District Council and PRS and given to the authorised representative prior to hiring. Further restrictions may apply.
The West Hendred Village Hall trustees allow the use of bouncy castles in the Village Hall under the following conditions:
1. When booking, the hirer must declare that they intend to have a bouncy castle. This declaration will imply a commitment to make sure that: The bouncy castle will be supervised at all times by an adult (over 18) Public liability insurance will be provided either by the Bouncy Castle supplier
or the hirer* signs the disclaimer accepting ALL liability for any Injury. Also accepting liability and costs of repair to the hall if damages have been caused as a result of the bouncy castle on the premises.
The hall reserves the right to prohibit the use of the castle, or even to cancel the booking if the relevant documentation has not been provided.
*PLEASE NOTE: The hall insurance doesn’t cover use of bouncy castles. The hall is only responsible for advising hirers that they must put appropriate arrangements in place.

As a result of a change in UK law, we now need your consent to how we contact you. By Completing the booking on HeatSave you are consenting to the Committee Members being able to contact you to confirm bookings and support you with your Hall booking arrangements.
